TexShare Communication Working Group Meeting Minutes
Texas State Library and Archives Commission, Conference Call Minutes
August 25, 2005; 9:00 a.m.

Willie Braudaway, Dell Davis, Stephen Dingman, Monica Norem, Greg Tramel, Ron Wirtz, Ann Mason, Mike Avila, Erica McKewen, Beverley Shirley

1. TLA Conference
Communications Working Group sponsored TLA Conference session is “Kindle Your Community’s Infatuation.” Deadline for speakers’ names September 15; deadline for speakers’ contracts October 1.

2. Creation of Subcommittees
Two subcommittees were created:
Web Page – Greg, Monica, and Mike
Conference Program: Willie, Ron, Stephen (moderator), Dell, and Ann

3. Speaker Assignments
Speaker assignments due to Ann no later than September 13:

·- Large public: Ann will contact Syma Zerkow for a recommendation from the Houston and/or Harris County public libraries – perhaps Sandra Fernandez (sandra.fernandez@cityofhouston.net) or Stephanie Thompson (stephanie_thompson@hcpl.net
·- Small public: Willie will contact Deborah Queen at Castroville Public Library
·- Community college: Ron Wirtz volunteered to speak on the program
·- Large academic: Dell will contact Diane Gwamanda (dgwamanda@uh.edu)
· -Medical: Dell will contact Helena Von Ville or Stephanie Fulton

Speakers must give concrete working examples of successful TexShare marketing even if it is only one.

4. Communication Plan
Group agreed to use OhioLINK Communication Plan Workbook as a template for creating a similar one to help all Texas libraries develop their own TexShare marketing plans. Ann will contact OhioLINK to get permission to tweak their Plan, giving appropriate acknowledgment. Mike’s 1st draft of the TexShare Communication Plan Workbook will be due to the Group by September 30. Conference subcommittee will touch base via email to set up later conference call. The final Workbook will be printed for distribution at TLA, added to the TexShare “I Still TexShare” Toolkit CD (v. 2.0), and added to the TexShare website after the conference.

5. TexShare Tex
Discussion on TexShare Tex – not Mike, not Stephen – anyone else?

6. TLA District Flyer
Mike was tasked to create a flyer of TexShare programs being offered at TLA for distribution at TLA District meetings. Mike was also reminded to be sure to use TexShare Tex on the flyers.

7. TexShare Logo and Brand
Discussion on TexShare official logo and brand – encourage all to use the cowboy brand to enhance TexShare direct marketing efforts; the official logo is always appropriate.
